PTO Meeting Minutes
November 2, 2009
The meeting was called to order, followed by the Pledge of Allegiance and introductions. The meeting minutes from October 2009 were not approved because Jenny Loveless was not able to attend the meeting. The minutes from October will be approved at the next meeting.
The treasurers report was presented by Michelle Bossong. There are a few teachers that still have money to spend. She will contact them to use their money. There was a $200.00 check found from the spring auction in 2009. After allocations there is $8643.01. Vicki Fraley accepted the minutes and Kathy Baum seconded.
Committee Reports:
Wilmot Primary Center Principal, Theresa Curley, presented legislative news. The referendum vote will be held on November 3, 2009. It will be at the Wilmot fire house on highway C. For the referendum to pass, it will take a simple majority vote.
Kathy Fowler presented how the Wilmot 2009 bookfair went. Total sales were $3175.54 with a gross profit of $793.89. The profits will go to the Wilmot library. The Trevor bookfair will be held on March 15, 2010 at Trevor. We would like to see an evening event, like the board meeting at Wilmot, during bookfair week to help bring parents in to boost sales.
Karen Gerold presented the fall fundraiser news. Simply, It did not go as well as had been hoped. Several factors played into that such as, economy, bookfair, pictures, and field trip money due that month. Total sales from the fundraiser equaled $2130.00.
Karen Gerold also presented market day. Today November 2, 2009 sales were $236.64 with 29 customers. Total sales for the school year are at $586.40
Vicki Fraley handled the Spooktacular Cake Walk. There may be some pink tickets missing, but so far profits are at $324.00.
Under old business, the bylaws committee is still waiting to meet. We must add a section about political partisanship in the bylaws. The PTO directory is done and going out by November 4, 2009.
New business items included doing additional fundraisers to supplement for this school year. The first will be a parents day out , organized by Karen Gerold. It will be held at the middle school. The time is up in the air, either 8AM-12PM or 1PM-5PM. We will need volunteers and donations for snacks. Adult volunteers will need a background check. The children will be ages 3 and up and must be potty trained. Pre-registration is required in order to make sure we have the correct adult to child ratio. We will possibly include some students for a service project.
A scrapbook-crop event will be organized by Krista Nader. It will be held at the middle school and we will need volunteers. Finally, middle school dances will be organized by Vicki Fraley. She will need parent chaperones and would like to charge $5.00 a child. The dates will have to be a Friday night in January and early March. She has planned to load an I-Pod with music to save to cost of a DJ. Concessions are up in the air at this time, and she must double check that we do not need to have a police officer on site during the dance. A sponsor night has been organized by Krista Nader for the Burger King in Paddock Lake for November 12, 2009 from 5-9. PTO will ask for receipts from patrons and in return Burger King will donate 20% of the sales before taxes back to the PTO.
We had a discussion regarding how to give money back to the schools without being able to take away class time.
The teacher conference dinner will be catered by Big Al’s in Twin Lakes. Edith from Big Al’s brought pizza in for us to sample. They will charge us $10.00 for a 16 inch one topping that will feed between 3-5 adults (6-10 kids), and will deliver the pizza for us. We will need parent volunteers to make dessert or salads to go with the pizza. Monday night, November 23rd will be the dinner. Karen Gerold will coordinate Trevor and she needs a volunteer for Wilmot.
Open Forum:
Randy Idler brought to our attention that she had received several phone calls from parents upset that the PTO sent a message about remembering to vote on November 3rd. She reminded the PTO that it must remain neutral on political issues. She also expressed concerns that the PTO directory was used to make phone calls regarding the referendum.
The next meeting will be on January 4, 2010.
